What we use

Your approved Google account identifies you. We store cleaning jobs, checklist responses, photos and videos, damage reports, supplies requests, invoice details, invoice history and an activity record. Invoice details may include your business name, address, rates, VAT information and optional payment instructions.

Why and who can see it

We use these records to manage contracted cleaning, check work, resolve property issues and handle invoices. Contract administration and our legitimate interests in managing the property are the purposes for these records. Financial records may also be needed to meet legal obligations. Access is restricted to the approved cleaner and owner accounts. Cloudflare hosts the portal, database and private uploads; Google provides sign-in. The optional guest checklist contains completed cleaning tasks and the clean date only, and Dale reviews it before sharing.

Keeping records

Records are kept only as needed for property operations, resolving issues and applicable accounting obligations. Ask the owner about retention or deletion of a particular report. Do not upload guest identity documents, card details, access codes or unrelated personal information.

Your rights

Contact the owner to request access, correction or deletion, or to raise a privacy concern. Some financial or dispute records may need to be retained. You may complain to the UK Information Commissioner’s Office at ico.org.uk.
